Job Description

Primary Purpose:

Responsible for supporting staff development manager, project managers, project architects and engineers and leadership as assigned. Effectively and efficiently administering office needs proactively.

  • Bachelor’s degree from accredited institution (preferably in business or related)
  • Experience working in a professional office environment

  • Able to complete complex administrative tasks with minimal supervision. Impeccable verbal and written communication skills
  • Friendly, hospitable demeanor
  • Proactive and assertive in problem solving
  • Experience managing parallel assignments

  • Work within a level of office confidentiality
  • Adhere to a consistent/formal schedule
  • Exceptional time management skills
  • Experience with Construction Administration highly preferred

Primary Responsibilities:

  • Submittal of plans for permits
  • Print for submittals
  • Assist with submission requirements
  • Compilation of drawings/renderings as requested
  • Administration of construction services (i.e. coordinate responses to RFIs and Shop Drawings).
  • Ability to manage and work in multiple platforms to garner information from client
  • Other duties as assigned

Secondary Responsibilities:

  • General Office Administration Duties
    • Conduct clerical duties including: answering phones, respond to emails, distribute mail, book appointments
    • Greet visitors and direct them to the appropriate location
    • Expense and mileage reporting
    • Schedule meetings and make travel arrangements for members of the company
    • Manage and plan professional development ‘lunch and learns’
    • Order and stock office, kitchen and bathroom supplies based on inventory schedule
    • Travel liaison for office staff

  • Establish annual education and training plans and goals for self.
  • Meet or exceed professional standards of work
  • Actively pursue personal continuing education
